The rental contract every event & party rental owner needs

A handshake and a text thread isn’t a contract. If a customer cancels last-minute, returns a torn tent, or a guest gets hurt, the difference between eating the loss and being protected is a signed agreement. Here’s what a solid event-rental contract includes.

The clauses that matter

• Parties & event details — who’s renting, the event date(s), venue/delivery address, and delivery/pickup windows.
• Items & quantities — an itemized list with unit prices, subtotal, delivery fee, tax and total.
• Payment terms — when payment is due (commonly in full on confirmation) and how it’s processed.
• Security deposit & damage — the deposit amount, what it covers, and who pays replacement cost for loss or damage. (See our deposit guide.)
• Cancellation tiers — refund percentages by how far out the cancellation is.
• Liability & indemnification — items rented “as is,” customer assumes safe-use responsibility, with the usual gross-negligence carve-out.
• Care & use, and signatures — intended-use rules and a place for both parties to sign.
